Staff

For Performance Bookings (not rehearsals or recordings), we provide a house manager, ushers, concession attendants, and a box office cashier. Hourly and overtime rates apply. Current rates are indicated in schedule A of your lease.

Ushers collect tickets, distribute programs, assist patrons in finding their seats, and set up tables for merchandise and reception. If requested, they will also operate a coat-check service.

A 15-minute break is required for all staff within no longer than 3.5 hours of continuous labour. An unpaid meal break is required for all staff after 5 hours of labour.

Please confirm all FOH requirements in the information form, which is required 4 weeks prior to your event.

Concession & Bar Services

The Concession & Bar are available for evening shows, and for matinee events as requested by the Organizer.
All food & beverage sales must be conducted by the Polaris Centre. A minimum sales of $200 per bartender applies.

Intermission

Any performance exceeding 90 minutes in length is required to provide at least one 15-minute intermission. Failure to provide an intermission will result in a fee of two hundred dollars ($200) on the final invoice.

Programs

If you wish to distribute printed programs, they must be given to the House Manager no later than thirty minutes before the theatre doors open. Please ensure that all inserts are pre-stuffed.

Merchandise Sales

Clients are responsible for all aspects of merchandise sale activity on the Polaris Centre premises. If you require PCPA staff to assist in merchandise sales, then they will be charged out at the cashier rate listed in schedule A. Staff availability is not guaranteed.

All merchandise sales are subject to Polaris Centre approval, and are subject to a 15-20% Commission, depending on the nature of the merchandise.

Receptions

We would be pleased to discuss hospitality options. Additional rental and labour rates may apply. Please contact our Front of House Manager to discuss your options.

Publicity

Patrons call us frequently looking for event information. We ask that you provide us with information for your event, including a contact from your organization. A poster can be displayed, space permitting, in our lobby prior to your event. You can deliver your poster to our main office.

All printed posters for your event must include all-in pricing (including taxes and surcharges). Patrons frequently call us to purchase tickets over the phone, and it is important that the published prices and the final charges match up.

Ticket Policies

Most events at the Polaris Centre are assigned/reserved seating.

The Box Office collects tickets revenues in trust for the promoter.

All tickets for public events must be sold through the Polaris Centre Box Office, which utilizes the Showpass™ System.
If you wish to sell physical tickets to your event, the Box Office can print hardcopy ‘promoter’ tickets for this purpose.

Online sales will stay online until 30 minutes after your performance begins.
As all tickets are delivered digitally, no will call table for ticket pickup is provided. If clients are unable to access their digital tickets, the box office can assist them with a printout.

If door sales are requested, our on-site box office will open 60 minutes before the performance and close 30 minutes after the start of the performance. Fees for Box Office staff are billed to the promoter.

Ticket sales are final. No exchanges or refunds are allowed.
Promoters may set their own exchange and refund policies. Please note: charges apply for refunds and exchanges, and will be billed to the promoter.

Accessibility

We are wheelchair accessible, and have dedicated parking. For advance notice and inquiries, please contact the FOH Manager.

Babes in Arms

Babes in arms permitted at the discretion of the Promoter.

Age Restrictions

For events with mature content, renters may specify:

  • a) recommended minimum age (5+, 13+) or

  • b) restrict the event to 18+ (ID required. Ushers do not check ID - Security charges billed to renter).
